Educational Qualification
Group 4 posts are open to candidates who have passed Higher Secondary (Class 12 or 10+2) from a recognised board. On top of this base, most posts ask for computer and typing skills, because the work involves file handling, data entry and typing in Hindi and English.
Higher Secondary (10+2)
You must have passed Class 12 from a board recognised by the government. A higher degree such as BA, B.Com or B.Sc does not replace the computer and CPCT requirements. Graduates still need the post-specific certificates.
One-year computer diploma or certificate
Most posts require a computer diploma or certificate of at least one year from a recognised university, institution or council. Common examples are DCA and PGDCA from recognised bodies. Short private courses of a few months are a common reason for rejection at document verification, so check the duration and recognition of your course.
Appearing candidates
Eligibility is checked on the date set in the rule book. If your Class 12 result, computer diploma or CPCT scorecard is not ready by that date, you may not be eligible for that cycle. Read the rule book carefully before applying with a pending result.
Post-wise Eligibility for Group 4 Posts
The table below summarises the post-wise qualifications reported for the 2024 rule book. Post names and conditions can change between cycles, so use it to understand the pattern and confirm your post code in the latest rule book.
Post | Education | Computer and typing | Other condition |
|---|---|---|---|
Assistant Grade-3 | 10+2 | One-year computer diploma; CPCT with Hindi and English typing | None |
Data Entry Operator | 10+2 | One-year computer diploma; CPCT with Hindi typing 20 wpm and English typing 30 wpm | None |
Steno Typist | 10+2 | One-year computer diploma; CPCT with Hindi and English typing | Hindi shorthand at 80 wpm |
Stenographer | 10+2 | One-year computer diploma; CPCT with Hindi and English typing | Hindi shorthand at 100 wpm |
Personal Assistant | 10+2 | One-year computer diploma; CPCT with Hindi and English typing | Shorthand at 100 wpm |
Record Clerk | 10+2 | One-year computer diploma; CPCT with Hindi typing | None |
Documentalist | 10+2 | One-year computer diploma; CPCT with Hindi and English typing | None |
Coding Clerk | 10+2 | One-year computer diploma; CPCT with Hindi and English typing | One year of coding experience in a recognised medical college or hospital |
Receptionist cum Clerk | 10+2 | One-year computer diploma | None |
Store Keeper | 10+2 | As per rule book | Two years of store-keeping experience |
A few posts, such as cook or telephone operator posts in some departments, carry trade-specific experience or certificates. If your target post is not listed above, read its row in the rule book line by line.
Choosing posts that match your profile
One application covers several Group 4 posts. Match the posts you choose to the certificates you already hold:
10+2, computer diploma and CPCT, no shorthand: Assistant Grade-3, Data Entry Operator, Record Clerk and Documentalist posts are within reach.
Hindi shorthand at 80 wpm as well: Steno Typist posts open up in addition to the clerical posts.
Hindi shorthand at 100 wpm: Stenographer and Personal Assistant posts become available as well.
Choosing a post you are not eligible for does not help. If you are selected for it, the department will reject you at document verification.
CPCT Requirement Explained
The Computer Proficiency Certification Test (CPCT) is conducted by MAP_IT, Madhya Pradesh. It is the standard proof of computer and typing skill for many Madhya Pradesh government jobs, and most Group 4 posts depend on it.
What it tests: An objective section on computer proficiency and general skills, followed by English and Hindi typing tests. Your typing speed and accuracy appear on the scorecard.
Speeds that matter: Data Entry Operator posts in the latest cycle asked for Hindi typing at 20 wpm and English typing at 30 wpm. Other posts specify Hindi typing, English typing or both.
Validity: The scorecard must be valid on the date the rule book specifies. Check the validity printed on your scorecard against the notification.
Timing: CPCT sessions are not held every month. If you plan to apply in the next Group 4 cycle, clear CPCT well in advance rather than waiting for the notification.
A strong written score is of no use if your scorecard does not meet the post requirement. Treat CPCT as part of your Group 4 preparation, not as a separate task for later.
Shorthand Requirement for Steno Posts
Stenographer, Steno Typist and Personal Assistant posts need a shorthand certificate on top of the common requirements.
Post | Shorthand speed (latest cycle) | Proof required |
|---|---|---|
Steno Typist | Hindi shorthand at 80 wpm | Certificate from a recognised institution, council or university |
Stenographer | Hindi shorthand at 100 wpm | Certificate from a recognised institution, council or university |
Personal Assistant | Shorthand at 100 wpm | Certificate from a recognised institution |
Check that your certificate states the language and speed clearly. A certificate for a lower speed than the post requires will not be accepted.
Age Limit and Age Relaxation
Age is counted on the reference date fixed in the rule book. For the latest cycle, the reference date was 1 January 2024. The minimum age is 18 years and the general maximum is 40 years.
Category | Maximum age |
|---|---|
Unreserved (Madhya Pradesh and other states) | 40 years |
SC, ST and OBC (non-creamy layer) of Madhya Pradesh | 45 years |
Women of Madhya Pradesh (all categories) | 45 years |
Persons with disabilities of Madhya Pradesh | 45 years |
Government, corporation and board employees of Madhya Pradesh | 45 years |
EWS of Madhya Pradesh | 40 years (no separate age relaxation) |
Ex-servicemen, contract employees and other special categories | As per Madhya Pradesh government rules stated in the rule book |
Two rules are easy to miss. First, age relaxation applies only to Madhya Pradesh domicile candidates of the listed categories. Second, relaxations generally do not add up beyond the maximum allowed in the rule book. If you fall in more than one category, check the combined limit before applying.
Worked example
Suppose a woman candidate of Madhya Pradesh was born on 15 March 1980. On 1 January 2024, she was 43 years old. She is over the general limit of 40 years but within her limit of 45 years, so she was eligible on age for the latest cycle. A male unreserved candidate of the same age would not have been eligible.
Nationality and Domicile Rules
Nationality: You must be a citizen of India. Earlier notices also listed subjects of Nepal as eligible. Follow the nationality clause of the current rule book.
Madhya Pradesh domicile: MP domicile candidates of reserved categories, women and persons with disabilities get reservation, age relaxation and a lower fee.
Candidates from other states: They can apply, but they are treated as unreserved. They get no age relaxation, no fee concession and can be considered only against unreserved vacancies.
Creamy layer: OBC candidates in the creamy layer are treated as unreserved for reservation, age and fee.
Application Fee
The fee is paid online while applying through the MPOnline portal. Portal charges are added on top.
Category | Fee (latest cycle) |
|---|---|
Unreserved and other-state candidates | Rs. 500 |
SC, ST, OBC, EWS and PwD of Madhya Pradesh | Rs. 250 |
Fees can change with each notification. Check the current amount before paying.
Documents Needed at Verification
Keep these ready from the day you apply, because the details you enter in the form must match them exactly:
Education proof: Class 10 marksheet (for date of birth) and Class 12 marksheet.
Computer qualification: One-year computer diploma or certificate from a recognised institution.
CPCT scorecard: Valid on the date stated in the rule book, with the typing languages your post needs.
Shorthand certificate: For steno posts, showing language and speed.
Category and domicile: Caste certificate, OBC non-creamy layer certificate, EWS certificate and MP domicile certificate, as applicable.
Other proofs: Disability certificate, ex-servicemen proof or employer certificate if you claim a relaxation, plus photo identity proof.
Common Reasons Candidates Become Ineligible
Short computer course: A computer course shorter than one year, or one from an unrecognised institute.
Missing or expired CPCT: No CPCT scorecard, a scorecard without the required typing language, or one that is no longer valid.
Wrong category claim: Claiming age relaxation or a reserved seat without a valid MP domicile or caste certificate.
Age miscalculation: Counting age on the application date instead of the reference date in the rule book.
Mismatched details: Name or date of birth in the form not matching your Class 10 certificate.
